The Jewish Cemetery Association of Massachusetts (JCAM) is a growing non-profit dedicated to the restoration and preservation of historic property, cemetery maintenance, burial services, and community education. With 125 cemetery properties and counting under its management, JCAM is recognized both nationally and locally for its industry leadership and high standard of community service. An increasingly complex operation, JCAM will soon migrate to cutting edge technologies for preserving archival data, mapping cemeteries, and providing community access to historical records. Our organization’s work is rooted in the historic preservation of the cemeteries we care for but extends to informal education, genealogical research, the enhancement of public space, and many other applications. Job Summary

JCAM is a successful 40 years young, non-profit organization located in Needham, MA. We have an exciting opportunity for an articulate, highly-skilled office administrator to fill the role of Client Relations & Data Information Administrator. This is a full time, key position that reports to the Executive Director and will act as our liaison on a variety of levels. The successful candidate will be responsible for engaging with clients on the phone, in person and electronically to assist with navigating and answering their questions, coordinating their needs in addition to assisting with office management functions for the organization.

The successful candidate will maintain and keep accurate, up to date records; collect payments; educate the public about our services and navigate business questions. You will work closely with our outside accounting firm and bring your knowledge and professional skills to support a busy non-profit.

Qualifications

All candidates must have proven achievement of having the following qualifications: Minimum 4+ years experience as an office administrator with client services or related job experience. Must be detailed oriented, ability to work under deadlines and possess excellent verbal and writing skills. Capable of maintaining composure in sensitive inter-personal situations with clients and the public. BA/BS degree preferred.

Experience working with and achieving daily targets for productivity, client satisfaction and other related business metrics. Proficient in MS Office Suite, Excel, Outlook and Teams a must.  Experience necessary using a database tool for careful recordkeeping. Experience in Bill.com software helpful.

Other Responsibilities:

  • Manage emails, letters, phone and other forms of  communication.
  • Log and copy incoming payments and checks daily.
  • Prepare electronic bank deposits.
  • Open mail and distribute to appropriate team members
  • Update information into database of records
  • Prepare and submit monthly reports to Executive Director for Board meetings
  • Prepare to contribute to bi-weekly team meetings.
  • Maintain payments to contractors via Excel spreadsheet.
  • Track Purchase Agreements for payments.
  • Share rotating week-end “on-call” with other team members
